Terms of service

Last updated: October 31, 2026. These terms cover the GymCams software, pilots and subscriptions from Web Landscapes LLC, a Florida company trading as GymCams ("we", "us"), and the demos on gymcams.com. Questions go to contact@gymcams.com or (786) 372-0287.

1. What we provide

GymCams is web software for gyms and fitness studios: compliance checklists and logs, a front-desk check-in, and usage analytics from counts. It is in early access. Features marked on this site as "pilot build" are plans being built with pilot gyms, not promises. Your written quote or pilot terms list what you get.

2. Pilots, quotes and payment

  • We don't publish prices. Pilots and subscriptions follow written terms in US dollars that state the length, scope and any fees. Sales tax is added where it applies.
  • Subscriptions are billed monthly or yearly in advance. You can cancel by email at any time; the subscription ends at the end of the paid period and the remainder isn't refunded, unless your terms say otherwise.

3. Your responsibilities

  • Your compliance is yours. GymCams stores the records your staff enter and sends reminders for the dates you set. It doesn't decide which laws, codes or insurer requirements apply to your gym, and it doesn't check that the work recorded was done. Keeping your gym safe and meeting your legal duties stays with you.
  • Cameras and signs. Your cameras, recorders and door counters are yours to install, run and disclose. You agree not to connect any count source in locker rooms, restrooms, showers, changing or tanning rooms, and to tell members that cameras are in use where the law requires it.
  • No biometric use. You agree not to use GymCams to collect or process face geometry, fingerprints or other biometric identifiers, and not to upload video or images from cameras.
  • Members' data. You're responsible for having the right to give us your members' names and contact details, and for your own membership terms and waivers. GymCams stores the waiver you provide; it doesn't write waiver wording.
  • Logins. You choose who gets access and keep logins private.

4. Your data

Your gym's data belongs to you. We process it only to run GymCams for you, back it up daily, and keep it in US data centers. You can export it at any time. When your subscription ends, the account stays open read-only for 30 days for exports, then we delete it; earlier on request. Our privacy policy has the detail.

5. Availability

We run GymCams with reasonable care and fix faults we find or you report. It may be unavailable during maintenance or because of failures outside our control; we don't promise a particular uptime or response time. Keep your own paper fallback for checks that can't wait.

6. The demos

The check-in, compliance and analytics demos on this site use a fictional gym and fictional data, run in your browser, and send nothing to our servers.

7. Liability

To the extent the law allows, our total liability for any claim is limited to the amount you paid us in the twelve months before the claim, and we're not liable for indirect losses, injuries at your premises, fines, or losses from a check that was missed, recorded wrongly or not done. Nothing in these terms limits liability that can't be limited by law.

8. Law and disputes

These terms are governed by the laws of the State of Florida. Any dispute goes to the state or federal courts in Miami-Dade County, Florida. Before going to court, we both agree to try to resolve it by talking first.

9. Changes

If we change these terms, we update the date at the top and tell subscribers by email. The terms in force when you pay for a period apply to that period.
